A Perfume Lovers’ Conference, Built From Scratch

Fragrance Fête, French for “festival,” brings together perfume enthusiasts, collectors, and industry brands and perfumers for a celebration of fragrances in New Orleans. Adriana Herrman, co-creator and co-organizer of the event, isn’t a traditional event planner — but she knows what she needs when it comes to a ticketing platform. She’s a technology consultant and the owner of a perfume shop, and Fragrance Fête came together fast: the first year sold nearly 500 tickets and went from idea to event in just six weeks. TicketSignup’s calendar-based timed entry ticketing helped make that timeline possible, giving Adriana the tools to launch quickly without sacrificing the crowd control a New Orleans summer event needed.

Adriana found TicketSignup through a Google search while looking for a specific feature: timed entry.

I was looking for timed entry because my experience with conferences that I’ve been working with for a very long time is you don’t really want a mass of people walking in the door all at one time. It overwhelms vendors. It makes for long lines and in New Orleans where it’s really hot in the summer, I did not want people standing outside waiting.

TicketSignup’s calendar-based multi-timed entry (MTE) ticketing was one of the few options built for exactly that, spacing attendees out instead of letting them all arrive at once. As she started setting things up, Adriana got an unexpected call from Devon Wallace, a TicketSignup sales rep, checking in to see if she had questions.

I came upon TicketSignup and it looked like it had all the things that I needed. But very specifically, when I started setting things up, somebody actually called me. This is so unexpected and weird and wonderful. I was able to ask him a couple of quick questions. That was very important and meant a lot.

That personal touch — a real person checking in before Adriana ever had to ask — set the tone for her TicketSignup experience.

Quick to Launch, Even on a Six-Week Timeline

With only six weeks to plan, Adriana didn’t have time to fight with software. Setting up timed entry, ticket caps, and pricing came together quickly, and the event’s fast turnaround became one more reason the TicketSignup platform worked: it’s built to get events live without a long setup process, whether an organizer has six months or six weeks.

Self-Serve Tools That Cut Down on Support Requests

Every time an attendee needed to change a time slot, cancel, or hand off a ticket to a friend, that request could have easily turned into an email Adriana had to handle herself, exactly the kind of work she didn’t have time for while running a brand-new event. TicketSignup’s self-serve ticket management let attendees make those changes on their own, so Adriana wasn’t fielding a flood of individual requests during the busiest weeks before the event.

Updating time slot through self-serve ticket management

Repetitive questions posed a similar risk of overwhelming her inbox, so TicketSignup’s built-in FAQ tool let her post answers to the questions she knew attendees would ask, and add new ones as they came in, keeping most of those questions off her plate entirely.

She also was able to utilize TicketSignup’s free chatbot feature, which provided attendees with 24/7 access to quick and accurate answers for event-related questions. In the entire ticket-purchasing process, Adriana only received one guest support-related email!

One Website for Everything

Before finding TicketSignup, Adriana had already bought a domain and built a two-page WordPress site just to give attendees somewhere to find event details. Looking back, she said she wouldn’t have bothered: TicketSignup’s free event website did that job on its own, serving as an all-in-one hub for event details without any extra setup. She still keeps her original site live for her perfume shop’s storefront needs, but the TicketSignup page handled the event itself.

Emails That Keep Attendees in the Loop

Keeping attendees updated on last-minute logistics, like parking and day-of changes, is hard to manage without a built-in way to reach everyone at once. Adriana used TicketSignup’s free Email Marketing to send day-before reminders with parking details and logistics to ticket holders, keeping that information in front of attendees right when they needed it.

The night before each event day, I sent an email that just said as a reminder, ‘This is where you park. This is where it is. This is where it isn’t. If you need to make changes to your tickets, you can do it here.’ The email updates were very awesome.

Reporting That Matches How People Actually Buy

Figuring out when ticket sales would actually pick up is mostly guesswork without visibility into real purchasing patterns. TicketSignup’s daily ticket sales calendar gave Adriana that visibility, confirming something she’d long suspected about event-goers: they buy close to the date, not months out. Tickets for Fragrance Fête’s 90-minute time slots picked up sharply in the final few days before the event, the same way people pick a movie showtime rather than planning it months in advance — data Adriana could see clearly instead of just guessing at. With TicketSignup’s built-in reports covering everything from daily sales to check-ins by time slot, organizers get that same kind of clarity into their own events without building a single spreadsheet.

Human-Centered Support

While TicketSignup’s intuitive setup let Adriana build her MTE ticketed event largely on her own, she still had a dedicated account manager, Elisabeth DellaRova, to turn to whenever questions came up. Running a first-year event meant she needed support she could actually reach, not a ticket queue or a bot.

Elisabeth has been really helpful and very responsive…I cannot tell you how valuable that is. I know you all probably have a lot of users, but I hope you never lose that human touch.

Looking Ahead

From a six-week sprint to a sold-out first year, Fragrance Fête shows what’s possible when timed entry, self-serve tools, and responsive support all live on one platform. Adriana’s perfume shop now runs its ongoing perfume-making workshops on the same MTE technology, and she’s already looking forward to bringing Fragrance Fête back for another year after its successful debut.
